Position Overview

Plumb Bros LLC is looking for a dependable, organized, and professional Administrative Assistant to support our office operations and management team. This position will handle a variety of administrative and customer service responsibilities while helping keep the office organized, stocked, and running efficiently.

The ideal candidate is someone who is organized, detail-oriented, dependable, professional, and comfortable multitasking in a fast-paced environment.

Responsibilities

  • Perform daily administrative and clerical tasks to support office operations.

  • Manage social media accounts.

  • Follow up with customers regarding service requests, appointments, estimates, invoices, and other company matters.

  • Provide excellent customer service and maintain professional communication with customers, vendors, and employees.

  • Assist management with daily administrative needs and special projects.

  • Maintain organized digital and physical files and records.

  • Perform data entry and ensure information is entered accurately and kept up to date.

  • Receive, sort, distribute, and send incoming and outgoing mail and packages.

  • Ensure the office remains properly stocked.

  • Maintain a clean, organized, and professional office environment.

  • Manage company inventory.

  • Organize company meetings, employee meetings, training sessions, and company events.

  • Help coordinate meeting schedules, supplies, food, materials, and other event needs.

  • Assist with employee paperwork, forms, and other administrative documentation.

  • Maintain calendars, schedules, and appointments as needed.

  • Prepare, organize, scan, copy, and file documents.

  • Communicate with vendors and suppliers when necessary.

  • Assist with scheduling and coordinating company operations.

  • Maintain confidentiality of company, employee, and customer information.

  • Perform other administrative duties as assigned by management.

Qualifications

  • Previous administrative, office, or customer service experience in construction preferred.

  • Strong organizational and time-management skills.

  • Excellent verbal and written communication skills.

  • Professional and friendly attitude.

  • Strong attention to detail and accuracy.

  • Ability to multitask and prioritize responsibilities.

  • Comfortable using computers, email, Microsoft Office, Google Workspace, and other office software.

  • Ability to learn company-specific software and systems.

  • Ability to work independently while also working effectively with a team.

  • Dependable, punctual, and responsible.
